Company #1 Profile: A consulting firm
with 5 employees.
Their Problem: This
client company had been using QuickBooks for several years for
their bookkeeping. However, they used a separate system to track
employee hours to generate client invoices. They liked the format
and the detailed information that was available to the client
with this billing system. But because it was separate from QuickBooks,
it necessitated entering the data again to generate invoices in
QuickBooks. Also, only the Administrative Assistant had access
to the billing system, which was limiting from a management standpoint.
Our Solution: We
installed QuickBooks Timer, which enables employees to enter their
hours on their own computers without accessing the QuickBooks
file. The Timer interfaces with the company QuickBooks file to
bring the payroll information into QuickBooks. We customized the
invoice and created reports for billing clients that replicated
the appearance of the old billing system.
The Results: As
a result, all bookkeeping and payroll data are available in one
system. Each employee enters his or her own hours and there is
no need for duplicate data entry. This saves time and money, and
keeps all information updated in real time.
Company #2 Profile: A non-profit agency that receives
money each month to spend on behalf of its clients.
Their Problem:
The agency was trying to track their client spending on paper.
They struggled with how to report the monthly totals spent for
each client, to whom the money was paid, the type of expense,
and how much of that client’s money was still on hand.
Our Solution:
We showed them how to enter all transactions into QuickBooks.
We then created the report templates that show the desired information
about each client, and saved them so they could be quickly accessed.
The Result:
The computerized program increased efficiency and saved
staff time. The reports they generated were very accurate and
up-to-date, and raised their credibility with their funding sources.
Company #3 Profile: A specialty retail company.
Their Problem: This
client company used industry-specific software to track their
inventory and sales. The software had been programmed to interface
with QuickBooks; however, no one knew how to use the interface.
Therefore, all other bookkeeping was done in QuickBooks, with
the bookkeeper entering the daily sales summaries into QuickBooks
twice a week. This process necessitated extra time to do the duplicate
entry and resulted in a lack of up-to-date information about how
much money was owed, how much had been received, and how much
money was in the bank.
Our Solution:
We customized the company file in both programs to create the
interface. Then, the appropriate employees were taught how to
import the information from the industry-specific software into
QuickBooks on a daily basis.
The Result:
Bookkeeping time was reduced, a more efficient, integrated system
was created, and the owner had accurate information about sales,
receivables, and bank balances.
